Job Summary – SA Housing Trust Senior Administrative Assistant

Under the direction of the Director of Operations, this position requires an individual who is able to multi-tasked and work in a fast-paced environment while performing various clerical duties with minimal supervision. Major responsibilities include managing filing systems, scheduling, board meeting coordination, and inventory tracking. This position supports the Executive Team as needed with a variety of highly responsible secretarial and administrative duties.

Essential Job Functions

  • Performs a variety of clerical duties in assigned department including maintaining company’s records, data entry, filing, distributing mail, answering telephones, responding to internal and external requests for documentation or information, copying various materials and documents, making bank deposits, and using office equipment.
  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies.
  • Setting up appointments and scheduling in-person and virtual meetings.
  • Ensuring the confidentiality and security of files and filing systems. Creates and maintains filing systems, both electronic and physical.
  • Performs data entry into the financial and accounting systems in compliance with established procedures.
  • Provides financial, adminsitrative, and clerical support by processing payments, verifying and reconciling accounts payable invoices.
  • Accountable for posting incoming checks, making weekly deposits to the bank, and responsible for obtaining signatures on checks.
  • Attend monthly board meetings. Record board minutes and transcribe minutes for the board secretary’s or vice president’s approval. Produce final copies of board minutes at the following month’s board meeting. Respond to board members’ questions about clarification of minutes.
  • Responsible for support of housing fund programs to include processing check requests, verifying title information, and submitting payments.
  • Responsible for providing administrative support as necessary to SA Housing Trust staff and leadership.

Education

An Associates’ Degree from an accredited college or university with preferable coursework in Business Administration, Business Management, Public Administration, Finance, or a related field is required. – Preferred: Bachelor’s degree

Three (3) years of experience in office or administrative assistant. Bilingual English/Spanish Preferred.

Must have a Class C Motor Vehicle License or equivalent and an acceptable driving record.

Knowledge, Skills, and Abilities

• Strong organizational skills
• Knowledge of contract administration and monitoring policies, procedures, and techniques
• Knowledge of basic accounting principles
• Knowledge of basic legal terminology used in contracts and lease agreements
• Possess skills for communicating clearly and knowledgeably, both verbally and in writing
• Skill in utilizing a personal computer and associated software programs
• Ability to develop and maintain effective working relationships
• Ability to operate a computer keyboard and other basic office equipment
• Ability to interpret and apply federal, state, and local laws

Physical Requirements

Physical requirements include visual acuity, speech, and hearing; hand and eye coordination and manual dexterity necessary to operate basic office equipment. Subject to sitting, walking, or standing to perform the essential functions. Working conditions are in an office environment.

Salary Range

$40,000 to $46,000/year depending on experience
